GOLDEN CYCLING TOURS - BOOKING TERMS & CONDITIONS

Welcome to Golden Cycling Tours! To ensure a seamless and unforgettable cycling adventure in Vietnam, Laos and Cambodia, please review our booking terms and conditions below.

1. Availability & Tailor-Made Services

Most of our cycling adventures in Vietnam, Laos and Cambodia are private, guided bike tours customized exclusively for your group.

• Flexible Departures: You choose your preferred travel dates.

• Customized Pricing: Tour rates are tailored to your group size, choice of accommodation, bicycle selection, support vehicles, and other specific service requirements.

• Availability Check: We highly recommend checking service availability with us once you have your travel dates and itinerary. We will immediately verify and confirm if we can accommodate your booking.

• Blackout Dates: Please note that we do not operate tours during the Lunar New Year (TET Holiday) to allow our staff and partners to celebrate with their families.

2. Booking Confirmation & Payment Policy

To secure your reservation, a deposit or full payment is required in accordance with our payment schedule below. Bookings are only officially confirmed upon receipt of this payment.

Required Payment Timeline:

• Day Trips / Single Services: 100% of total cost is required at the time of booking.

• Multi-Day Tours (booked less than 30 days prior to departure): 100% of total cost is required at the time of booking.

• Multi-Day Tours (booked more than 30 days prior to departure): 30% deposit is required at the time of booking, with the remaining 70% balance due before departure.

Payment Methods:

• Deposit Payment: Can be made securely online via PayPal (credit card) or via Bank Transfer.

• Balance Payment: The remaining balance must be settled before the trip departure via PayPal or Bank Transfer. Alternatively, you may pay the balance in cash (USD or VND) upon your arrival in Vietnam, or hand it directly to our tour guide/driver on Day 1 of your tour.

• Bank Transfer Note: We only accept bank transfers for bookings made more than 30 days prior to departure, as international transfers can take up to 7 business days to clear. Your booking process will officially commence once the funds successfully reach our account.

3. Amendments & Changes

We want your trip to be perfect.

• Before Final Confirmation: There are no fees for any changes or amendments made to your itinerary prior to the signing of the Service Agreement.

• After Final Confirmation: Any modifications or cancellations after this point may incur fees. However, Golden Cycling Tours will not charge you any amendment fees if our third-party service providers (hotels, airlines, cruises, etc.) waive theirs. We only pass on direct costs incurred.

4. Cancellation & Refund Policy

All cancellations must be submitted to Golden Cycling Tours in writing (via email). The cancellation date is defined as the business day we receive your written notice.

The following cancellation fees apply to the full package price:

• More than 45 days before departure: No cancellation fee (except for any non-refundable administrative/transaction fees).

• 44 to 30 days before departure: 50% cancellation fee of the full package price.

• 29 to 8 days before departure: 70% cancellation fee of the full package price.

• Within 7 days of departure (or No-Show): 100% cancellation fee of the full package price.

• Unused Services: No refunds or credits will be issued for any unused services (meals, accommodation, transport, etc.) once the tour has commenced.

5. Child Policy

We offer attractive discounts for families traveling with children on our all-inclusive tour packages. These discounts vary depending on the specific tour length, activities, and the age of your children.

Please note: Child discounts apply to all-inclusive packages only and do not apply to single-service bookings (such as standalone hotel, train, or flight reservations).

• Under 6 years old (2 – 5 years): Free of Charge (sharing bed with parents; no extra services provided by Golden Cycling Tours).

• From 6 to 11 years old (and under 1.2 meters in height): 75% of the adult rate (or 25% discount).

• 12 years old and above: 100% of the adult rate.

6. Transportation & Support Vehicles

To ensure maximum safety and comfort, we allocate support vehicles based on your group size, tour activities, and routing. The exact vehicle type will always be clearly specified in your Service Proposal:

• 1 – 2 Passengers + Guide: 4-seat or 7-seat car (for tours utilizing local push-bikes).

• 3 – 5 Passengers + Guide: Support Minivan (for tours utilizing hybrid bikes such as Trek or Giant).

• 6 – 12 Passengers + Guide: Support Minivan + 1 dedicated truck for bicycles.

• 13 – 20 Passengers + Guide: 29-seat bus + 1 dedicated truck for bicycles.

7. Tour Guides

Our standard online rates include a professional, English-speaking local guide (where guide services are included in the itinerary).

• Local Expertise: We utilize local guides in each region (Hanoi, Sapa, Ha Giang, Hue/Da Nang/Hoi An, Central Highlands, Nha Trang, Da Lat, Saigon & Mekong Delta) to provide you with the most authentic local insights.

• Special Requests: If you require a multi-region English-speaking Tour Leader or guides fluent in other languages (such as French, German, etc.), please inform us in advance so we can customize your proposal.

8. Limitation of Liability

While we strive to deliver a seamless itinerary, flight schedules and daily routes are subject to change without prior notice due to airline modifications, adverse weather conditions, or local operational safety requirements.

Consequently, tour itineraries may need to be adjusted. If changes are necessary, Golden Cycling Tours will act in your best interest to arrange suitable alternatives. However, Golden Cycling Tours cannot be held legally or financially responsible for flight delays, denied boarding, missed connections, or any additional expenses incurred due to third-party delays or force majeure.
